1. May the Food Service Management Company include the District's logo in their Request for Proposal?
Yes, this is acceptable.
 
2. How many copies of the proposal do you want in addition to the original and electronic copy?
Multiple copies are not required provided one proposal contains an original signature in blue ink, and one copy is made available electronically as specified in the RFP.  
 
3. Please provide actual Meal Claims by school for the 2018-2019 School Year and the 2021-2022 Year to Date claims for any meals served.

4. Please provide the Year-End Food Service Program Financial Report for the 2018-2019 School Year as well as 2020-2021 School Year.

5. Please provide enrollment projections for SY 2024, 2025 and 2026.

6. Please provide a Fringe Benefits ($ amount or %) all FSMC’s must use correlating to the labor information in Appendix A.
Fringe benefits are calculated at 25% of wages, plus $968 per month per employee for SEBB benefits for each employee who works more than 630 hours per year. This SEBB benefit rate is the 21/22 rate. The 22/23 rate has not yet been established by the State legislature. 
 
7. What is the total estimated value of donated food (commodities) available to the district for the school year 2022 – 2023 (entitlement/bonus summary report), and the allotment for last year?
The starting Entitlement for 22/23 is $111,531. The allotment for last year (20/21) was $54,442.
 
8. Is the high school open or closed campus?
The White River High School is a closed campus.
 
9. Please provide a copy of the current MOU’s for the three other facilities served that are listed on page 22.
The Community Activities Program is a district program; therefore, no agreement exists. There is no current agreement with Pierce County Human Services for ECEAP. The district’s interlocal agreement with Carbonado School District is available on the Business Office website at the following link: Interlocal Agreements 
 
10. On section 17 Management Services, the RFP limits our response to two pages for each scoring criteria. We request an exception to this requirement. This will allow us to present you with a comprehensive response. Would that be acceptable?
There is no apparent Section 17; however, Article II, Section A.11 on page 17 references Management Services and the required components. Responses will remain limited to 2 pages per item.
 
11. Please provide who will be on the decision-making committee?
The committee will likely be comprised of the Director of Finance, Director of Operations, a school administrator, and an employee of the Nutrition Services department.
 
12. Will there be a food/program presentation as part of the evaluation process?  And will there be a student(s) as part of the review committee?
There will not be a food/program presentation. Currently, there are no plans for a student to participate on the review committee.
 
13. Please provide the original base year contract with the current FSMC and the most recent contract amendment. Please see the documents below titled 2016-17 WRSD FSMC Contract - Final and 2021-22 White River SD FSMC Contract FINAL in the attachments section of the webpage.
 
14. Is there currently breakfast in the classroom or breakfast after the bell, if so, where? 
No - these programs do not currently exist.
 
15. Is there open campuses at any of the schools? If yes which schools and what grade levels?
No - there are no open campuses.
 
16. With the limitation of pages in our response, would it be acceptable to the district to allow us to have an appendix section to our response that would contain more detailed information about our company?
In order to maintain a fair competitive process, responses are limited to the requirements listed in the RFP.
 
17. Our standard response contains a cover letter and executive summary, is this acceptable to the district?
Attachment E in the RFP is meant to serve as the cover letter and must be included in the proposal. The remaining responses are limited to the requirements listed in the RFP.
 
18. May we request the district’s audited food service budgets for 18-19?

19. Would it be possible to get a copy of the Contract that the district will use with the successful FSMC?
Please see the document below titled 2022-23 WA FSMC Contract Template in the attachments section of the webpage. This Template is provided by OSPI and might be modified based on specific circumstances. 
 
20. Does the District plan on taking free and reduced applications for the 22-23 school year and when will you begin processing applications?
Yes. We generally begin processing applications in late Summer.
 
21. Could we get a copy of the Summer Claims for 2018-2019?

22. Is the two page limit single-sided or double-sided?
Since the RFP does not speak to this, double-sided will be acceptable.
